Configuring Module Access

Workaware allows you to restrict access to software modules based on an employee’s Security Level The Security Level is set as part of their employee profile and can be Administrator, Senior Manager, Manager, User or External Auditor.

Administator users have access to all company modules and can’t be restricted. All other security levels can have custom module access however

Each module inside Workaware can be configured in one of three ways:

  • access allowed: the employee sees the module and can access it

  • access not allowed, disabled: the employee can see the module but has no access

  • access not allowed, hidden: the employee can’t see the module

Note that because of the way the screen is set up in the mobile app only the first two options apply on mobile. If a module is configured as not allowed and hidden for an employee it will display disabled on mobile.

These can be configured either using the desktop client or Workaware Online

Using Workaware Desktop

  1. Click on Company Settings

  2. Click on the “Security” tab (depending on your monitor resolution you may need to scroll the tabs to the right to find it)

  3. For each module you’ll see a row like the following:

    1. If a checkmark appears in a column then that particular Security Level has access, otherwise no access (see the column heading for which check corresponds to which level)

    2. The “Module Access Visibility” column determines whether a disallowed module appears as disabled (“Greyed Out”) or is hidden (“Invisible”)

  4. After making changes click on “Save”.

Using Default Access Levels

This can be done either temporarily or permanently under the Company Settings > Security configuration area.

  1. “Reset” will permanently remove all custom module access settings and set module access to the system defaults. You would need to re-enter any custom settings you want.

  2. Checking “Default module access?” will temporarily apply system default module access to your account but will preserve your custom settings. Unchecking “Default module access?” will restore your custom access levels.

Using Workaware Online

You can also change this setting in the online application at http://app.workaware.com

  1. Under “Settings” click on “Security”

     

  2. Each module appears with the Security Level values that have access in green and those that don’t have access in red.

     

  3. Click on a module to change the settings. Visibility is set in the top drop-down box. GreyedOut means disabled when there’s no access, Invisible means hidden if there’s no access.

  4. After making changes click on “Update”
