Certificates & Training
In order to track whether an employee has a particular certification and whether that needs to be renewed or not using Workaware you can add information under the “Certificates & Training” tab of their profile.
You can add certifications that an employee has or is in the process of receiving.
An employee can have multiple records for the same course, for example for a certification that needs periodic renewal. In this case their expiration date for a particular company course will be based on the latest expiration date.
Currently this capability is only available in Workaware for desktop.
Note that in order to associate employee certificates with courses that are tracked internally by your company you need to enter your recognized course types in Company Settings. See Add course types to your company account
Access
Click on the “People” module in Workaware desktop
Double click on the employee’s entry to open their employee profile.
Click on “Certificates & Training”
Fields
The fields tracked for an employee’s certification or training are as follows:
Course Label: best name determined based on which of Course Name, Equiv. Company Course or Description are available. Read-only
Course Name: Name of the course that the employee took. This is provided to track courses that either an employee may have taken prior to joining your company or if you allow employees to choose their own certificate provider for a particular course.
Equiv. Company Course: regardless of which course the employee took, which course do you recognize it as internally? This will be one of the courses defined in Add course types to your company account.
Description: detailed description of the course
Instructor, URL, Price, Duration in minutes: various other details about the course as appropriate
Certified On: the date the employee was certified. Until this is populated the employee won’t be flagged as certified for this training/course.
Expired On: if blank then the certification never expires. Otherwise after this date the employee will be flagged as needing to recertify.
Certificate Scan: a scan or any establishing documentation for a certification can be included. Typically this would be an image but any file type can be used.
Adding certificate information
Click on “Add Completed Certificate”
Fill out the fields.
Repeat for as many certificates as you’d like to add.
Click on “Save & Close” to record the changes
Adding a certification document
Click on “Select Photo” for the certification/training.
Choose the scanned certificate image or document that contains the information.
Click “Open”
Click on “Save & Close” to record the changes
Update certificate information
Make the necessary changes to the certificate row.
Click on “Save & Close” to record the changes
Remove or update certificate scan
The wrong certificate document may have uploaded or a better version may be available.
To replace the associated document simply click on “Select Photo” and upload a new file.
To remove the associated document entirely click on the delete button.
Removing a certificate
Right click on the training/certification record you’d like to remove.
Choose “Delete”
Confirm when prompted
Click on “Save & Close” to record the changes.
Undoing changes
If you make a chance to training or certification that you didn’t intend click on “Cancel” to close the employee’s profile without making changes. If you accidentally click on “Save & Close” and save some changes that you didn’t intend to please contact support@workaware.com soon after and we should be able to revert any changes.
